Development Coordinator

Reports to: Director of Advancement
Status: Full time

Work Environment:
Work is mostly sedentary in an office environment.

Desire for a career in development. One to three years of experience in an administrative support role. Bachelor’s degree or other combinations of work experience and education will be considered (degree not required).

Duties & Responsibilities:

Administrative Support:
Provide administrative support to the Director of Advancement and the Development department, including calendar management/scheduling; helping maintain the Museum’s development database; tracking department expenses; monthly credit card reconciliation; maintain inventory of collateral materials and office supplies; manage and oversee paper and electronic record filing; help prepare proposals and solicitation materials; analyze and improve office processes and policies.

Data Entry:
Assist the Database Administrator with data entry overflow in constituent relationship management database (Altru); coordinate mailing lists for events and a quarterly newsletter; assist with compiling tributes and donors lists for newsletter
Gift Processing: Oversee processing of charitable gifts; track, acknowledge and report contributions received; send pledge reminders and invoices as appropriate

Work with appropriate team members on updating donor acknowledgement letters, provide reports and donor lists for newsletter, website, annual report, donor wall and other items as needed; working with appropriate team members, develop content for Development portion of the newsletter and website; annual endowment report updates

Donor Relations:
Assist with stewardship and help team develop stronger relationships with donors involving communication and engagement; provide excellent customer service to all patrons; return all phone calls in a timely manner; forward any calls that require assistance to appropriate development team member

Membership: Assist Membership Officer with processing memberships; generate renewal notices, acknowledgement letters, membership cards, new member packets, interest letters and complimentary memberships
Events: Assist Membership Officer and Events Manager in planning and coordination of events and member-related activities, as well as assist with event registration and payment.

Volunteer: Be an active member of the Development Department, volunteering for related activities and events as needed

Technical: Proficiency in Microsoft Word, Excel, PowerPoint and Google Workspace preferred
